What we collect

- Agent referral form: the agency name and email, the student's name, school, start date and the services needed.
- Application form: the student's name, date of birth, sex, citizenship and email; the parents' or guardians' names, relationship, emails, phone numbers and home address; the school, program and dates of stay; the student's address in Canada; and the services requested.
- Health information (optional): allergies, regular medication and medical conditions that a parent or guardian chooses to tell us about.
- Documents you send us later, such as copies of the student's and the parents' or guardians' identification needed for the custodianship declaration and the notary.
We do not collect or store payment card numbers on this website. Card payments are made through the secure link on your invoice and are processed by the payment provider.
Information about children
Most of the information we handle is about students under the age of majority. We collect it from a parent or legal guardian, or from an agent acting on the family's behalf, and we rely on the parent's or guardian's consent.
Why we use it
- To prepare the Custodianship Declaration and related documents.
- To assign a custodian and allow the custodian to carry out their duties, including in an emergency.
- To communicate with the student's school or school board where the service requires it.
- To arrange accommodation or insurance when you ask us to.
- To reply to your questions, send invoices and keep our records.
- To meet our legal obligations.
Who we share it with
We share personal information only as needed to provide the service you requested:
- the custodian assigned to the student;
- the student's school or school board;
- the notary who notarizes the declaration;
- homestay hosts, our realtor or insurance providers, when you request those services;
- SAY Immigration Inc. and its licensed immigration consultant, when you request immigration services;
- companies that provide our website hosting, email and payment services;
- authorities, where the law requires it.
We do not sell personal information.
Where it is stored
This website is hosted in Canada. Forms are sent to us by email. Our email and some other service providers may store information outside Canada, where it is subject to the laws of that country.
How long we keep it
We keep personal information for as long as needed to provide our services and to meet legal and record-keeping requirements, and then delete or destroy it securely.
How we protect it
The website uses an encrypted (https) connection. Access to personal information is limited to the people who need it to provide the service. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Cookies and tracking
This website does not use advertising or analytics cookies. The site loads its typeface from Google Fonts, which means Google receives your device's IP address when a page loads.
News and updates by email
We send news or promotional emails only to people who have asked for them by ticking the box on our forms. The box is never ticked in advance. Every such email identifies SAY Education and includes a way to unsubscribe, and you can also ask us to stop at any time by email. Messages about your own application, invoice or service are not marketing and are sent as part of the service.
Your rights
You may ask to see the personal information we hold about you or your child, ask us to correct it, or withdraw your consent, subject to legal and contractual limits. Withdrawing consent may mean we can no longer provide the service. Write to our Privacy Officer using the contact details above. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
